Reservation Policies

This text outlines the basic booking and travel policies of ECOWORLD TRAVEL AGENCY. It emphasizes the need to understand the risks inherent in wilderness experiences, the importance of documentation and shared responsibility. It also outlines cancellation policies and emphasizes that safety is a priority.
Policies and Booking Procedures
Once you have selected your preferred tour or program, you must read the terms and conditions of this document before confirming your reservation. Please note that once ECOWORLD TRAVEL AGENCY has received your booking and deposit, we will respond via email with a confirmation of your booking, which implies acceptance of all the terms and conditions described below.
How to make a reservation
To make a reservation for one of our programs, please follow these simple steps:
Select your program: Explore our exciting tour programs on our website and choose the one that best suits your preferences.
Terms and Conditions: Before proceeding, please read our Booking Terms and Conditions carefully, as your reservation will be subject to these terms and conditions.
Complete the Booking Form: Locate and complete the Booking Form in the Online Booking section of our website. Provide the required information such as your full name, passport number, date of birth and nationality.
Reservation Confirmation: Within two business days, you will receive an email from one of our travel consultants confirming or denying your reservation.
Deposit: If your reservation is confirmed, you will be asked to pay a deposit to guarantee your booking. The minimum deposit is 50% of the total value of the tour or program. You may choose to make a larger or full (100%) deposit. The balance must be paid prior to the start date of the service, which will be provided when your reservation is confirmed.
Service Confirmation: Once we confirm receipt of the deposit, your reservation is confirmed. We will send you a Service Confirmation form with all the details of your program.

Personal information for reservations
When confirming the reservation, the client must provide the personal information required by the Peruvian government. This is necessary for the issuance of permits and tickets to visit Machu Picchu, the Inca Trail to Machu Picchu, National Parks or Natural Reserves. The required information includes
- Full name.
- Passport number.
- Date of birth.
Payment / Deposit
To confirm your reservation, ECOWORLD TRAVEL AGENCY requires a minimum deposit of 50% of the total tour or program value. If you prefer, you may choose to make a larger or full (100%) deposit. The balance must be paid prior to the start date of the contracted service, which we will specify when confirming your reservation.
Cancellation by us
ECOWORLD TRAVEL AGENCY reserves the right to cancel a tour or program under the following circumstances
- The client has not paid the balance before the date of service as indicated in the reservation. In this case, the client will not be entitled to a refund of the initial deposit.
- Force Majeure: Unforeseen or uncontrollable situations such as flight cancellations or delays, technical problems in transportation, adverse weather conditions, strikes, riots, government decisions or other circumstances that alter the itinerary or cause a change in the duration of the program.
In such cases, ECOWORLD TRAVEL AGENCY will seek viable solutions to carry out the program or offer similar alternatives. Any additional payment required due to changes will be the responsibility of the client. Please note that ECOWORLD TRAVEL AGENCY will not be responsible for reimbursing the client for any additional expenses incurred due to changes or modifications not directly attributable to us.
Changes by you
If the client requests changes to the confirmed itinerary at the time of booking, these will be made at no additional charge unless the changes are significant. If changes are requested after the tour has begun, we will do our best to accommodate them, but we cannot guarantee that we will be able to do so. In the case of changes that require additional costs, the client will be responsible for these costs.
Cancellation by you
In case of cancellation by the customer, he/she must notify ECOWORLD TRAVEL AGENCY in writing, either by e-mail or through the web platform. The cancellation fee is 30% of the total price of the reservation, to cover operating expenses.
For traditional and customized programs:
If the cancellation is received more than 30 days before the service date, the client will lose only 30%. For cancellations received within 30 days of the service date, the following cancellation fees apply
- 30 to 21 days: 50% of the program price.
- 20 to 11 days: 75% of the program price.
- 10 days or less before departure: 100% of the program price.
For treks, expeditions and adventures:
If cancellation is received more than 30 days prior to the service date, the client will only lose 30%.
For cancellations received less than 30 days prior to the service date, the following cancellation fees apply
30 to 16 days: 75% of the program price.
15 days to the date of departure: 100% of the program price.
In case of cancellation, the customer should be aware that ECOWORLD TRAVEL AGENCY will proceed to cancel the services contracted with third parties (trekking permits, Machu Picchu tickets, train tickets, bus tickets, transportation, among others, depending on the chosen service). Therefore, if the client wishes to resume the services, he/she will have to pay again the full amount of the program, if it is still available.
Assumption of Risk
Some of our programs are designed to allow participants to experience direct contact with nature and environments where medical services may be limited. By booking and confirming your participation in one of our programs, you understand and accept the following:
You acknowledge that the planned activity may involve elements of personal risk and exposure to potential hazards inherent in the nature of the activity.
You voluntarily assume these risks as an integral part of your participation in the Program and understand that they cannot be completely eliminated.
You certify that you are in adequate health and physical condition to participate in the Program and are not concealing any relevant medical conditions.
You agree to inform our staff of any medical condition that you believe is relevant to your safety or the safety of other participants.
Medical Disclaimer
You release ECOWORLD TRAVEL AGENCY from any liability related to accidents or injuries that may occur in connection with your health or physical condition.
You accept that ECOWORLD TRAVEL AGENCY is not responsible for medical care and supplies that may be provided during the program.
Jurisdiction and Applicable Law
You agree that any dispute or claim shall be subject to the exclusive jurisdiction of the courts of Cusco, Peru and shall be governed by the laws of Peru.
Authority on the Tour
You understand and agree that during the tour, the decision of the guide or representative of ECOWORLD TRAVEL AGENCY is final in matters affecting the safety and well-being of the tour group.
You agree to abide strictly by the laws, customs and regulations of Peru and agree that any interference with the well-being of the group may result in your removal from the tour without refund.
Travel Documents
It is your responsibility to ensure that you have the proper documentation prior to joining the program, including a valid passport with at least six months validity from the date of entry and any required visas.
Liability
You acknowledge that ECOWORLD TRAVEL AGENCY will not be liable for any loss or damage in the following cases:
If the breach of contract is attributable to you.
When the breach of contract is attributable to a third party unrelated to the provision of the contracted services and due to unforeseeable or unusual circumstances beyond the control of ECOWORLD TRAVEL AGENCY.
Due to unforeseeable and extraordinary circumstances beyond the control of ECOWORLD TRAVEL AGENCY, the consequences of which could not have been avoided even with due care.
You accept that ECOWORLD TRAVEL AGENCY will do everything possible to minimize the effects of matters beyond its control, but cannot accept responsibility for these matters, which may include political disputes, border closures, visa denials, labor disputes, flight delays, unforeseeable weather conditions, strikes, wars, civil unrest, natural disasters, government actions, mechanical failures, or other unforeseeable events.
You understand that if you are traveling with an airline, you are subject to that airline's terms and conditions of carriage and that ECOWORLD TRAVEL AGENCY is not responsible for any expenses or consequences resulting from flight delays, cancellations or missed connections.
Claims and Complaints
If you have a complaint against ECOWORLD TRAVEL AGENCY, you must inform the tour driver, guide or company representative during the tour so that they can attempt to resolve the problem.
Any other complaint must be made in writing to the company within 7 days of the end of the tour. Complaints submitted after this time will not be accepted..
Participant Agreement
By signing this document, you acknowledge that you have read, understand and agree to all of the terms and conditions described above.
You assume responsibility for your participation in the program and release ECOWORLD TRAVEL AGENCY from any liability related to the inherent risks of the activity.
By confirming and participating in our programs, you accept all the provisions of the Booking Terms and Conditions set forth in this document and acknowledge their binding nature for all tours.
